Privacy notice
Your CV says a lot about you. This notice explains what we collect, why, who sees it, how long we keep it, and your rights.
Who we are
Rolemend is a trading name of EvolveOneAI Ltd (company number 17271120), 5 Brayford Square, London, E1 0SG. We are the data controller for the information you give us. Contact us about privacy at hello@rolemend.co.uk.
What we collect
- Contact details: your name and email address.
- Career information: your CV, work history, qualifications, the type of role you want, any job advert you share, and anything else you choose to tell us.
- Order details: your order reference, what you bought, when, and whether payment succeeded. Stripe handles your card details; we never see your full card number.
- Emails you send us about your order.
We don't ask for, and you shouldn't send, passport or ID documents, National Insurance numbers, dates of birth, bank details or passwords. A CV can sometimes include sensitive details, such as health or religion. Only include these if you want them on your CV.
Why we use it, and our legal basis
| What we do | Legal basis |
|---|---|
| Write and deliver your CV and cover letter, and contact you about your order | Performing our contract with you, or taking steps you've asked for before it |
| Take payment, keep financial records and handle refunds | Contract, and our legal obligations (tax and accounting) |
| Deal with complaints and legal claims | Our legitimate interests in running and protecting our business |
| Prevent spam and misuse of our order form | Our legitimate interests |
If your CV contains special category information (for example about your health), we only use it because you've chosen to include it in the documents you've asked us to write, and only for that purpose.
We don't sell your information, and we don't use it for marketing unless you've separately agreed.
Who we share it with
We use trusted providers who handle data on our behalf and only as we instruct:
- Netlify, which hosts this website and stores the order form and the files you upload.
- Stripe, which processes your payment.
- Our email provider, which we use to contact you and send your documents.
- CV checking tools, which we use to test how your CV reads to employer screening software and AI-writing checkers.
- AI-assisted writing tools, which we may use to help draft or check documents. We only share what's needed to write your documents, and a person reviews everything before it's sent.
Some of these providers process data outside the UK, including in the United States. Where they do, we rely on safeguards recognised under UK data protection law, such as the UK-US data bridge or the International Data Transfer Agreement.
We may also share information if the law requires it.
How long we keep it
- If you don't complete payment: we delete your form and files within 30 days.
- Your uploaded files, form answers and finished documents: we delete them 90 days after delivery, so we can handle corrections and questions in the meantime. Ask us and we'll delete them sooner.
- Order and payment records (name, email, order reference, amount and date): kept for 6 years, as required for tax and accounting.
Keeping it safe
Access to your files is limited to the people working on your order. Our website uses encrypted connections (HTTPS). No system is perfectly secure, but if something goes wrong that affects you, we'll tell you and, where required, the Information Commissioner's Office.
Your rights
You have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct it;
- ask us to delete it;
- object to, or ask us to restrict, how we use it; and
- ask us to send it to you or another organisation in a usable format.
Email hello@rolemend.co.uk to use any of these rights. We'll reply within one month. Some rights have limits, for example we must keep financial records for tax purposes.
Cookies
We don't use advertising or tracking cookies on this site. If we add analytics or advertising measurement later, we'll update this notice and ask for your consent where the law requires it.
Complaints
If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes
We'll update this notice if how we use your information changes. The date at the top shows the latest version.
